The Sub-Servers Make Us Feel Safe and Secure.

Medical Corporation Iyuukai, Motomachi Pain Clinic is a branch clinic of the Medical Corporation Iyuukai, Ishikawa-cho Orthopedic Practice and the first user of our BrainBox Cloud, a cloud-based electronic medical record system in Japan. We asked Dr. Iizuka, the director of this clinic, about the reasons why she decided to implement a cloud-based system, its functions, and ease of use.

You introduced the cloud-based BrainBoxCloud when you started your business. Did you have any concerns at the start?

Not really. I had been using Yuyama’s BrainBox VIII (on-premise type) at the Ishikawa-cho Orthopedic Practice where I worked originally, and was already familiar with how it worked. The support system was also solid, so we were able to introduce the system without any worries.

In fact, you are the first in the country to introduce BrainBoxCloud. It’s been about four months since the system was introduced. May I ask how it’s been in terms of usability?

I find it easy to use. I originally used BrainBoxVIII (on-premise type), which runs similarly to BrainBoxCloud, so I feel comfortable using it.

Ishikawa-cho Orthopedics Practice used the on-premise BrainBoxVIII and is now using the cloud-based BrainBoxCloud. Can you tell us what are the advantages and disadvantages of using two different types of electronic medical records?

The way to start up the Schema is a little different between BrainBoxCloud and BrainBoxVIII (on-premise type) so it can be a little confusing, but that’s probably simply something I need to get used to. Other than that, I don’t think there are any disadvantages that stand out. I don’t feel uneasy when using them and there doesn’t seem to be any issues since I’m able to examine my patients without delay.

You mentioned that you are able to examine your patients without delay—how many patients do you see per day?

About 40 people.

Does this mean that the high level of security, including the sub-servers, is leading to a reduction in your own psychological burden?

Absolutely, I think not having to worry about servers dropping makes a big difference in my mindset. In this respect, BrainBoxCloud is safe to use thanks to its sub-servers.

BrainBoxCloud includes sub-servers in the hospital as standard, which allows business to be conducted as usual even in the event of a failure by synchronizing them. Do you feel more secure in having such a contingency plan in place?

It definitely gives us a very strong sense of security. When we heard that we were going to introduce a cloud-based system, we were concerned about what might happen if the servers were to stop, as it would affect our medical examinations. However, I was relieved to hear that the sub-servers were permanently installed when the system was introduced. The security aspect is stable, so I can use the system with peace of mind.

I think the lack of anxiety is a major selling point. Moving on, please tell us about your rehabilitation software. We heard that it’s actually used by your rehabilitation staff, so we would love to know what they think.

They seem to like it and have mentioned how easy it is to use.

So, what do you think about MDbank medical database that comes standard with our BrainBox?
MDbank in BrainBoxCloud has enhanced prescription checking functions, such as chlorpromazine equivalents. What are your impressions of this database?

I appreciate the enhanced checking functionality. It is helpful to get a red alert when dosages aren’t correct. It is so ‘by the book’ that I sometimes feel it is too strict, but I understand that it is a function to avoid medical assessments (returned or deducted points) in insurance claims, and so it’s a necessary check.
Regarding other points, it is very helpful to be able to immediately see attachments, pictures of the drugs, contraindication information, etc., so the need to look for a book containing the pharmaceutical information we are looking for has completely disappeared. There are a lot of generic drugs that patients bring with them, especially recently, and sometimes it is difficult to know which drug it is, but with MDbank, we can respond quickly and save time.

We’re glad to hear it’s so useful! I believe this is a strength unique to MDbank, which is equipped with an extensive database of pharmaceuticals. What do you tend to use it for the most?

I often use the medicine pictures. Showing patients pictures of their medications and explaining them to them, is so useful and makes the interaction go much smoother. Beyond that, it would be nice to see a warning about interactions between drugs.

Rehabilitation Room

It’s good to have a place where you can explain things visually. Are there anything else you have noticed while using BrainBoxCloud?

Well, we don’t currently do this, but if we start making house calls in the future, we would be able to view patient information at the site of the visit, which I believe would further demonstrate the advantages of the cloud-based system. In that sense, I expect that further benefits will emerge depending on how the product is used in the future.
Another advantage is that the system can be operated without taking up much space, since you can look at it without setting up a large device. Sub-servers are necessary in case of emergencies and for ease of mind, so we feel that this part is more of a benefit than a space issue.

As a final question, is there anything you keep in mind when examining your patients

Try to listen carefully. We examine our patients while paying attention to what is troubling them and what they most want to hear. We take the time to explain their medication and the cause of their medical condition so that we can carefully answer any questions they might have.
